Certification Manager
Compliance programs often require individual managers to certify that certain
actions have been taken or that certain conditions are true. The compliance
manager is responsible to request such certifications and make sure that all
have been received and recorded. When multiple compliance programs and many
managers are involved, this task can rapidly become an administrative nightmare.
ProcessUnity Certification Manager removes much of the risk and
administrative burden of soliciting and tracking certification requests and
receiving and recording the certifications themselves. Key capabilities are:
- Design a Certification Request. ProcessUnity provides
the compliance manager with a simple tool to design the format of
certification requests. This includes defining the text of the request, the
time period allowed for response, and the specific questions which must be
answered.
- Create Distribution Lists. Each certification request
can have its own distribution list of managers being asked to make that
certification. The compliance manager can select addressees from the
existing base of ProcessUnity users or add new users in the process of
creating the list.
- Send Certification Requests—manually or automatically.
With the click of a button, the compliance manager can personally initiate
distribution of a certification request. Alternatively, the compliance
manager can have the system send requests automatically at specified
intervals—weekly, monthly, quarterly, or yearly.
- Respond to Certification Requests. Addressees on the
distribution list receive certification requests by email and work queue
entry. Through clicking on a link in the email or inbox, recipients are
taken to a ProcessUnity response window. On this window they answer each
question and enter comments as desired.
- Automatic Follow-up. When the certification request due
date arrives, all addressees who have not responded yet will receive a
reminder by email. If the due date passes without a response, the system
will send another reminder.
- Track Certification Status. A certification status
report summarizes responses to all certification requests with a line for
each respondent indicating how each question was answered. This report can
be filtered by several dimensions.
